Decide what counts as a duplicate

Before cleaning, define whether duplicates must match exactly or whether differences in letter case, whitespace, or punctuation should be ignored. Exact matching is safer when capitalization or spacing carries meaning. A normalized comparison can be useful for email lists or pasted names, but it may merge entries that should remain separate.

Preserve the right order

Some workflows keep the first occurrence and remove later repeats. Others sort the list alphabetically before deduplication. Keeping first-seen order is useful for copied notes and manually curated lists because it preserves the original sequence. Sorting can make comparison easier, but it changes order and may separate related items. Choose deliberately rather than treating these methods as interchangeable.

When line-based deduplication is not enough

A simple line tool treats each line as one complete value. It may not understand CSV columns, multi-line quoted fields, or records that wrap across multiple lines. For structured files, use a parser that understands the format and select the field or combination of fields that defines a duplicate. For example, duplicate customers might be identified by a stable customer ID rather than by an entire row of text.

Use deduplication responsibly

Removing duplicates is a data-cleaning step, not a guarantee that the remaining list is correct. Two different people may share a name, while one person may appear under several spellings. Review high-impact datasets carefully and keep an audit copy when you need to explain how records changed.
